Questions & answers

Consent & data ownership

You do. All data generated during your tastings — guest ratings, tasting notes, import inquiries and contact details — belongs to you as the importer. Vinkretsen stores and processes it on your behalf under GDPR. You can export your data at any time from your dashboard.
Never. Your tasting data, guest lists and analytics are completely isolated. No other importer can see your guests, scores or orders. The only information that's publicly visible is what you choose to display — your wine portfolio and importer profile.
Vinkretsen acts as the data processor; you are the data controller for your tasting data. We have a Data Processing Agreement (DPA) in place that governs the relationship. All data is stored within the EU. Guests can request deletion of their data, and account creation requires active consent. Our full privacy policy is available on the platform.

QR codes & tasting format

Each tasting has a unique QR code and sharing link. Guests scan it with their phone and land directly in the tasting — no download, no login. From there they can rate wines, select tasting chips, write notes and place import orders, all from their phone.
No. Everything runs in the guest's mobile browser. No download, no account required to participate. Guests who want to save their notes can optionally create a free Vinkretsen account after the tasting.
A summary email with every wine they tasted, their scores and their tasting notes. If they selected wines for private import, the email includes all the details they need to complete their order. Guests who created an account can also browse their notes in their personal tasting journal on Vinkretsen.

Private import & orders

During or after the tasting, guests can mark which wines they'd like to order. They can either receive the list by email or place an order directly at the event — entering their phone number and preferred pickup location so your team can help them complete the purchase on the spot. All inquiries are collected in your importer dashboard with one-tap copy buttons for easy processing.
No. Vinkretsen handles interest and inquiries, not the purchase itself. The actual order is completed through the standard private import process. Your dashboard shows which guests expressed interest and lets you follow up directly.
Vinkretsen displays your wines based on your synced catalogue. If a wine is no longer available, it won't appear on the platform. You can also manually hide specific wines from your public portfolio using a simple toggle in your dashboard — useful for limited allocations or wines you only want to pour at events.

Reports & insights

Everything, in real time. While the tasting is running, you can follow guest ratings and participation in your dashboard. After the tasting you see average scores per wine, guest flavour profiles (aroma, taste, balance, structure, finish), import inquiries and engagement analytics. You can generate an AI-powered summary report as a PDF with one click.
Yes. Import inquiries can be copied as formatted text directly from the dashboard — including article details, quantities and contact information, ready to paste into your order forms. The AI report exports as a branded PDF. Full data export for all your tastings and guest data is available.

Practical

During onboarding, we set up your importer profile, sync your wine catalogue and configure your account so everything is ready before you log in for the first time. Once your account is live, you'll walk through the tasting creation process with our guidance until you're comfortable running it independently. Most importers are fully up and running within their first week.
Yes. You decide whether a tasting is free or ticketed, and you set the price per event in the creation wizard.
Your data belongs to you. On termination you can export all tasting data, guest records and reports before your account is closed. We delete your data from our systems in accordance with GDPR requirements after you've confirmed the export.
